ISO 20121:2024 Sustainable Event Management Certification

In 2025, CONVIN proudly achieved the ISO 20121:2024 certification – the leading international standard for sustainable event management.

This milestone reflects CONVIN’s firm commitment to sustainability, responsible resource management, and active stakeholder engagement. Our Event Sustainability Management System (ESMS), fully aligned with ISO standards, covers all aspects of conference planning and execution across our operations. From minimizing waste and adopting energy-efficient practices to sustainable procurement and transparent communication, we are dedicated to integrating sustainability into every stage of event delivery.

CONVIN’s Sustainability Policy for Events

Our aim is to deliver events which integrate the environmental, social, and economic impact reduction in one sustainable operation, enhancing its positive contributions to the community, environment, and stakeholders.

Achieving ISO 20121:2024 certification demonstrates CONVIN’s commitment to sustainable event management by showcasing its proactive approach to reducing environmental impact, promoting social responsibility, and ensuring economic sustainability in its events. This certification highlights CONVIN’s dedication to adopting internationally recognized best practices in sustainability, which not only enhances the quality of their events but also fosters long-term positive effects on the environment and communities.

The purpose of this Sustainability Policy is to outline our commitment to minimizing the environmental impact of our events and promoting sustainable practices across all stages of event planning, execution, and post-event activities. This policy aims to foster a culture of environmental responsibility and ensure that sustainability is at the core of every event we organize.

This policy applies to all types of events organized or hosted by our organization, including conferences, seminars, trade shows, workshops, social gatherings, and any other corporate, professional, or community events.

CONVIN’s sustainable event policy goals are:

Environmental Responsibility

Waste management

  • We aim to minimize waste through reduction, recycling, reuse and composting initiatives, minimizing single-use plastic while striving for zero-waste events wherever possible.
  • We will collaborate with the venue owners to set up clear waste separation stations (recycling, compost, and landfill) at the event site.
  • We encourage the use of eco-friendly and digital rather than printed materials.
  • We will avoid food waste by calculating attendance numbers accurately and donating leftovers to local food banks when possible.
  • We will work with suppliers and vendors to prioritize sustainable food and beverage options, offering plant-based menus, locally sourced ingredients, and minimizing food waste, providing reusable, biodegradable, or compostable food packaging and utensils.
  • We are aiming that all products and materials used for the event (e.g., food, decorations, promotional items) are sourced sustainably, such as using locally-produced, organic, or ethically-sourced materials and avoid promotional giveaways that are plastic-based or that could contribute to waste.

Energy efficiency

  • We will use energy-efficient technologies and practices in all aspects of our event operations, from lighting and sound to transportation and logistics.
  • We prioritize venues that have energy-efficient lighting, recycling programs, and water-saving measures or that are certified as environmentally sustainable. (e.g., ISO 14001, ISO 20121, ISO 50001).

Transportation and carbon emissions management

  • We encourage the use of public transportation, carpooling, and electric vehicles for attendees and staff
  • we will offset carbon emissions from travel when feasible.
  • We consider providing shuttle services or partnering with ride-sharing services to reduce the carbon footprint.
  • We will promote virtual or hybrid participation to reduce the need for travel, thereby lowering the event’s carbon footprint.

Water conservation

  • We will implement water-saving strategies, such as providing refillable water stations and minimizing water usage in event facilities.

Accessibility

  • We will ensure the event is accessible to all participants, including those with disabilities. This includes providing adequate signage, transportation, and facilities for diverse needs.

Fair treatment and ethical practices

  • We ensure fair and equitable treatment of all individuals involved in the event, including workers, volunteers, and attendees towards inclusivity and diversity needs of all attendees.
  • We ensure fair labor practices and ethical treatment of workers, contractors, and suppliers involved in the event.
  • We promote diversity in terms of gender, race, culture, and representation within the event’s speakers, performers, attendees, and organizers.

Support & engagement of local communities

  • We foster relationships with local communities by supporting local businesses, vendors, and service providers, and engaging local talent. We will prioritize the purchase of sustainable products and services from local suppliers, including locally sourced, fair-trade, and eco-friendly materials. 
  • We will collaborate with partners and vendors who share our commitment to sustainability and support ethical and environmentally friendly practices.

Stakeholder Engagement

  • We will educate event stakeholders (attendees, vendors, partners, and suppliers) about the event’s sustainability goals and encourage their participation in sustainable practices.
  • We foster partnerships with sustainability-focused organizations to enhance the event’s positive impact.

Feedback and Continuous Improvement

  • We will collect feedback from participants, vendors, and stakeholders to measure the event’s sustainability performance and identify areas for improvement.
